FAQs

ADP Services

What is K-12 Tech’s Accidental Damage Protection (ADP)?

K-12 Tech’s Accidental Damage Protection (ADP) is a device protection plan for K-12 schools that covers accidental damage and hardware failures for Chromebooks, laptops, and student devices.

Plans include:

  • Unlimited repairs during the coverage term (with EXT ADP+ Battery)
  • Coverage for common student damage (drops, spills, breakage)
  • Repair tracking through Rocket (K-12 Tech’s platform)
  • Flexible terms from 1 to 5 years

Schools use ADP to reduce repair costs, simplify workflows, and keep students learning without device downtime.

What does K-12 Tech ADP cover?

ADP covers accidental damage and functional failures from normal school use, including:

  • Cracked screens (LCD and digitizer)
  • Liquid damage
  • Broken keyboards
  • Charging ports and USB ports
  • Hinges (if affecting functionality)
  • Motherboards and internal components
  • Wi-Fi cards
  • Buttons and mechanical failures
  • Battery (with EXT ADP+ Battery)

What protection plan options does K-12 Tech offer?

K-12 Tech offers three main device protection options:

  1. ADP + Extended Warranty (Battery Included)
    1. Covers accidental damage + manufacturer defects
    2. Includes battery replacements (with specific conditions)
    3. Best for districts that want full coverage and predictable repairs
  2. ADP + Extended Warranty (Battery Excluded)
    1. Covers accidental damage + manufacturer defects
    2. Batteries are not included in coverage
    3. Battery replacements are available at a fixed, transparent cost
    4. Ideal for districts looking to lower ADP pricing
  3. Extended Warranty Only (EXTW)
    1. Covers manufacturer defects only
    2. Does not include accidental damage
    3. Designed to extend OEM warranty coverage

Are battery replacements included in ADP?

It depends on the plan:

  • Battery Included Plan:
    • Batteries are covered if they are non-functional (device won’t stay powered without charging)
  • Battery Excluded Plan:
  • Batteries are not covered
    • Replacements are available at a set, pre-defined cost per battery

This new structure helps districts reduce overall ADP costs while still having a clear battery replacement option.

Why would a district choose ADP without battery coverage?

Many districts choose this option to:

  • Lower upfront ADP costs
  • Avoid paying for high-frequency battery replacements
  • Maintain predictable pricing with fixed battery replacement rates
  • Separate “wear-and-tear” components from full protection coverage

This approach is especially useful for large fleets or older devices with expected battery degradation.

What is not covered under ADP?

ADP does not cover:

  • Lost or stolen devices
  • Cosmetic damage that does not affect functionality
  • Intentional damage or vandalism
  • Software, licensing, or data loss
  • Accessories (chargers, cases, etc.)
  • Pest infestations (ex: bed bugs)
  • Pre-existing damage before coverage start

Is there a limit to the number of repairs?

No. K-12 Tech ADP+ Battery and EXT ADP No Battery includes unlimited repairs during the active coverage term. EXT ADP No Battery excludes all battery replacement.

How long does coverage last?

  • Coverage terms range from 1 to 5 years and begin on the agreed start date.
  • Most districts align coverage with the school year.
  • ADP can cover summer if there’s an agreement to continue coverage the following year.

Can older or refurbished devices be covered?

Yes, but all devices must be fully functional before enrollment.

  • New devices: up to 5 years
  • Older devices: typically 1–4 years
  • Used/refurbished devices: may include a waiting period (0–90 days) to complete all catch-up repairs to count them as functional.

What happens if a device cannot be repaired?

If a device is deemed Beyond Economic Repair (BER), K-12 Tech will:

  • Replace the device with a comparable unit (new, refurbished, or used), OR
  • Provide a credit up to the device’s covered value
  • Coverage transfers to the replacement device.

Does ADP cover stolen devices?

No. Theft and loss are not covered. These are typically handled by district insurance policies.

How does ADP work with manufacturer warranties?

If you purchase the Manufacturer extended warranty, defects are covered. If K-12 Tech is an Authorized Service Provider (ASP), they can handle warranty claims on your behalf, allowing schools to manage everything through one partner.

What makes K-12 Tech different from OEM protection plans?

K-12 Tech ADP is designed specifically for schools and offers:

  • Unlimited repairs (no claim limits)
  • Faster turnaround (typically 5–10 business days)
  • Local pickup or free shipping
  • No third-party administrators
  • Full repair tracking in Rocket
  • Simplified, school-friendly workflows

Most OEM plans include claim limits, deductibles, or more complex approval processes.

What is the typical repair turnaround time?

Most repairs are completed within 5–10 business days after the device is received.

This helps schools:

  • Reduce student downtime
  • Avoid loaner shortages
  • Keep 1:1 programs running smoothly

Do you offer local pickup or shipping?

Yes.

  • Local districts: free weekly pickup and drop-off
  • Nationwide: free shipping labels through Rocket

Can devices be added during the contract?

Yes. New devices or students can be added during the active term if devices are fully functional at enrollment.

Are there deductibles or hidden fees?

No hidden fees.

Most ADP plans include no deductibles

Optional deductible structures are available if preferred

For battery-excluded plans: Battery replacements are billed at a fixed, agreed cost

What is Covered?

What types of damage are covered under ADP?

K-12 Tech’s ADP covers accidental damage and mechanical failure caused by normal school use, including:

  • Cracked screens (LCD & digitizer)
  • Battery replacements (unlimited)
  • Liquid damage
  • Broken keyboards
  • Damaged hinges (when affecting function)
  • Charging ports & USB ports
  • WiFi cards
  • Motherboards
  • Buttons and internal components
  • Mechanical breakdown from everyday student use

What is not covered under K-12 Tech’s Chromebook ADP?

K-12 Tech’s ADP does not cover:

  • Theft or lost devices
  • Cosmetic damage that does not affect function
  • Intentional damage or vandalism
  • Pest infestations (including bed bugs)
  • Software, licensing, or data loss
  • Chargers or accessories
  • Manufacturer defects covered under OEM warranty

This structure keeps the Chromebook protection plan focused on accidental damage and operational failure.

Is there a limit to how many incidents or repairs are allowed under ADP?

No, K-12 Tech’s ADP includes unlimited repairs during the active coverage term.

Are battery replacements covered under ADP?

Yes, battery replacements are fully covered under K-12 Tech’s Chromebook ADP with no incident limit.

Can older or refurbished devices be covered?

Yes, older or refurbished devices can be covered under K-12 Tech’s ADP.

  • New Chromebooks can be covered for up to 5 years.
  • Older devices are typically covered 1–4 years.
  • Refurbished or used devices may have a waiting period (0–90 days).
  • Devices must be fully functional before enrollment.

Schools can work with K-12 Tech to build a tailored coverage plan.

What counts as catastrophic damage?

Catastrophic damage refers to damage that renders a device Beyond Economic Repair (BER).

A device is considered Beyond Economic Repair when the cost to repair it exceeds the device’s covered value or when repair is not technically feasible.

Examples may include:

  • Severe liquid damage affecting multiple internal components
  • Extensive motherboard failure
  • Significant structural damage that impacts functionality
  • Multiple major components damaged simultaneously

K-12 Tech has sole discretion to determine when a device qualifies as Beyond Economic Repair.

Does K-12 Tech ADP cover stolen Chromebooks?

No. Theft and loss are not covered under accidental damage protection. District insurance policies typically address stolen devices.

Repair Terms & Conditions

Is K-12 Tech’s ADP more cost-effective than paying per repair?

Yes. Schools that pay per Chromebook repair often face unpredictable costs and repair spikes.

K-12 Tech’s ADP provides a fixed per-device annual cost with unlimited repairs, allowing districts to:

  • Avoid surprise repair invoices
  • Budget accurately
  • Reduce internal labor strain
  • Keep students connected

For districts researching “cost-effective Chromebook repair protection,” ADP offers predictable budgeting.

What happens if a device is deemed unrepairable?

If a Chromebook or student device covered under K-12 Tech’s Accidental Damage Protection (ADP) is deemed unrepairable, it is classified as Beyond Economic Repair (BER).

A device is considered Beyond Economic Repair when:

  • The cost of repair exceeds the device’s covered value, or
  • The damage makes the device technically impossible to repair

When a Chromebook is determined to be BER, K-12 Tech will resolve the claim in one of two ways:

  • Provide a comparable replacement device (new, refurbished, or used), OR
  • Issue a credit up to the device’s covered value so the district can purchase a replacement device of its choice

The exact resolution depends on the district’s ADP contract and service profile preferences.

Do you offer underwritten protection?

Yes. K-12 Tech offers underwritten ADP options backed by CNA for districts that require insurance-backed protection.

Manufacturer Warranties

How does ADP work alongside manufacturer warranties?

K-12 Tech ADP complements manufacturer warranties by covering accidental damage, while OEM warranties cover defects. K-12 Tech is an Authorized Service Provider, K-12 Tech can file the warranty claim on the district’s behalf. This allows schools to manage both warranty and accidental damage repairs through one EdTech partner.

How Does K-12 Tech’s ADP Compare to OEM Warranty or Manufacturer Protection Plans?

When evaluating device protection for Chromebooks and student laptops, many districts ask: What’s the difference between an OEM warranty and an Accidental Damage Protection (ADP) plan? While manufacturer warranties and OEM protection plans serve an important purpose, they are typically structured differently than K-12 Tech’s ADP program.

Here’s how they compare.

  1. Standard Manufacturer (OEM) Warranty

Most OEM warranties included with Chromebooks or student devices cover:

  • Manufacturer defects
  • Hardware failures not caused by user damage
  • Limited repair or replacement for factory-related issues

Standard warranties typically do not cover:

  • Cracked screens
  • Liquid damage
  • Drops
  • Accidental damage from student use

These warranties are designed to protect against product defects – not just real-world classroom wear and tear.

  1. OEM Accidental Protection Plans vs. K-12 Tech ADP

Some manufacturers offer add-on accidental damage protection. However, these plans often:

  • Limit the number of claims per year
  • Include per-incident deductibles
  • Cap total repair value
  • Restrict coverage terms
  • Require centralized shipping and approval processes

In contrast, K-12 Tech’s Accidental Damage Protection (ADP) offers:

  • Unlimited repairs during the coverage term
  • Coverage for drops, spills, cracked screens, and liquid damage
  • Repairs even if cumulative costs exceed the device’s value
  • No complicated claims approval process
  • Optional deductible structures if preferred by the district
  1. Repair Process & Administrative Burden
  • OEM Programs may require:
  • Warranty claim submission by the district
  • Manufacturer authorization before repair
  • Limited visibility into repair history
  • Longer turnaround depending on parts availability

K-12 Tech ADP is designed specifically for K-12 environments:

  • Weekly local pickup (where available)
  • Nationwide prepaid shipping
  • Estimated 5–10 business day turnaround after receipt
  • Full repair tracking through Rocket (device history + user history)
  • Manufacturer warranty claims filed on behalf of the district when K-12 Tech is an Authorized Service Provider (ASP)

This reduces administrative workload for school tech teams.

  1. Budget Predictability for School Districts
  • OEM programs may include:
  • Claim limits
  • Deductibles
  • Anniversary-based coverage terms

K-12 Tech ADP provides:

  • Unlimited repair coverage
  • Flexible coverage aligned with the school year
  • Predictable per-device budgeting
  • No surprise repair invoices

Are there deductibles or hidden fees?

There are no hidden fees in K-12 Tech ADP. Districts may choose a deductible option if it fits their budgeting model. If selected, covered claims are billed at the agreed deductible.

How long does ADP coverage last each year?

Coverage terms range from 1 to 5 years and begin on the agreed Coverage Start Date. Many districts align coverage with the academic school year.

Can devices be added mid-contract?

Yes. New students or newly deployed devices can be added during the active coverage term if fully functional at enrollment.

Are there bundle options or discounts available for Chromebook ADP?

Yes. K-12 Tech offers flexible pricing options for districts enrolling in Accidental Damage Protection (ADP) for Chromebooks and other student devices.

ADP pricing is influenced by several factors, including:

  • Total number of devices enrolled
  • Whether devices are cart-based or 1:1 take-home
  • Device make and model
  • Age of the fleet

In general:

  • Larger device fleets qualify for more competitive per-device pricing.
  • Cart-based devices often see lower ADP rates due to reduced breakage trends.

Districts can also bundle ADP with additional programs to reduce long-term device costs and improve repair efficiency:

Student Repair Program (Repair Class Support)

Train students to assist with in-house repairs while K-12 Tech provides structured support and parts supply.

Device Complete Club (Family-Pay Option)

Families pay an annual membership fee for unlimited accidental damage coverage. This offsets district repair budgets while maintaining the same ADP-level protection.

Every district’s device environment is different. For customized pricing or to discuss bundling options, contact K-12 Tech at [email protected].

What is a typical repair turnaround time?

K-12 Tech repairs covered Chromebooks within 5–10 business days after the devices are received at our repair facility.

For schools on local pickup routes, devices are collected weekly and returned once repairs are complete. Schools outside local service areas can ship devices using prepaid labels generated through Rocket.

Fast turnaround time helps districts:

  • Reduce student downtime
  • Keep 1:1 programs running smoothly
  • Avoid loaner device shortages
  • Minimize classroom disruption

Compared to many third-party or OEM protection plans, K-12 Tech’s ADP program is designed for faster processing and simplified repair workflows for K12 schools.

Shipping Or Mail-In

Do you provide local pickup and drop-off services?

Yes. K-12 Tech provides weekly pickup and drop-off for districts on local routes. Your local Repair Route Driver will communicate with you each week regarding deliveries. Districts outside those routes can generate free FedEx labels through Rocket.

Do devices need to be mailed in?

It depends on your district’s location.

K-12 Tech provides both local pickup Chromebook repair service and nationwide mail-in repair options for K-12 schools.

If your school is located within the service radius listed on our Locations page, devices are picked up weekly as part of our local route service. Schools scan broken Chromebooks into Rocket, place them in their designated repair tub, and K-12 Tech handles the rest.

If your district is outside our local pickup area, devices are mailed to our repair facility. K-12 Tech provides prepaid shipping labels both ways, so there is no shipping cost to the school. Packaging materials can also be provided upon request for new ADP customers.

Whether using local pickup or mail-in service, Chromebook repair turnaround time is typically 5–10 business days after the device is received at our facility, depending on parts availability.

This flexible repair model allows K-12 Tech to support schools nationwide with Accidental Damage Protection (ADP) for Chromebooks and student devices.

How often are devices picked up or shipped for repairs?

The pickup and shipping frequency for Chromebook and student device repairs depends on your district’s location and repair volume.

Local Pickup for K-12 Schools: For districts within K-12 Tech’s local service radius, devices are typically picked up weekly.

  • However, pickup cadence can be adjusted based on:
  • Number of devices needing repair
  • District preference
  • Seasonal repair volume

If a school has fewer devices in a given week, pickup timing may be adjusted accordingly.

Mail-In Chromebook Repair (Nationwide)

For districts outside our local pickup area, devices are shipped in batches using prepaid shipping labels generated through Rocket.

  • When a batch of devices (for example, 5–10 Chromebooks) is received:
  • All devices in that batch are repaired together
  • Devices are shipped back once repairs are complete
  • If parts are delayed, shipment may be held until the batch is fully repaired
